Overview of MDT Meeting Management in NCAtrak

MDT meetings are planned, conducted, and documented in different ways

throughout the country. The information contained in this training document will give information 

about how to set-up NCAtrak for your MDT meetings and give you options for managing your MDT 

meeting needs.

Getting Started with MDT Meetings in NCAtrak

There are a few things to do before you begin to create rosters and conduct meetings.


✓  Set-up your CACs Unique Meeting Types – The most obvious meeting type is case review. Most CACs 

routinely conduct or participate in one MDT case review meeting. Many CAC have multiple routine 

meetings for different counties or jurisdictions represented by different multi-disciplinary teams. 

Other CACs conduct special case reviews - for example a clinical case review meeting with some 

members of the MDT. If your CAC participates in more than just one MDT case review meeting you will 

need to give each one a unique name in NCAtrak.


1. From the Menu, go to Administration/Pick list page.

2. Select MDT from the Category drop down list.

3. Select MDT Meeting Types from the Pick list drop down.

4. Enter a name for each type of meeting applicable for your

center. Save in the table row each time until all types are listed.

✓  Create a list of Meeting Locations – Most MDT meetings happen in the same location every time so 

a location seems unnecessary unless you have more than one MDT meeting type. For centers hosting 

multiple meetings or traveling to different locations for different meetings, it is very helpful to 

know where the meeting is going to be held.


1. From the Menu, go to Administration/Pick list page.

2. Select MDT from the Category drop down list.

3. Select Meeting Locations from the Pick list drop down.

4. Enter each location applicable for your team. Save in the table row each time until all types 

are listed.


✓  Create a list of Recommendations – NCAtrak provides a place for narrative text in the MDT 

results log on each case record however, many CACs like to quickly identify what was recommended at 

a meeting. To make this easy, you need to create a list of brief descriptions of the 

recommendations your team will need.


1. From the Menu, go to Administration/Pick list page.

2. Select MDT from the Category drop down list.

3. Select MDT Recommendations from the Pick list drop down.

4. Enter each recommendation applicable for your team. Save in the table row each time until all 

types are listed.


✓  Create a list of Regular Attendees for each of your types of meetings – Typically MDT meetings 

have a group of personnel who are ‘regulars’ at the meeting. Then, there is also a group of 

personnel who come when they have a case on the roster but they are not regular attendees. To keep 

you from having to re-create this attendee list every time you meet, follow the steps to set-up a 

list of routine attendees for each of your types of meetings.


1. From the Menu, go to MDT/Attendee Set-up

2. Each type of meeting will have different regular attendees so select a meeting type from the 

pick list.

3. In the table, enter the agency and name of each person who is a regular. Click ‘Save’ in the 

table row to save each person as you go.


□  Create a new MDT meeting & Add a Case to a Meeting Roster

MDT meetings can be created from the MDT Meeting List page, New Case(s) page, and the MDT tab in a 

case record. When you create a new meeting from New Case(s) or MDT tab, you also can place the case 

you are working from on the roster of that meeting at the same time.

✓  Add meetings from the MDT Meetings List - Enter a list of the meetings you anticipate over the 

next few weeks or months by clicking this link and following the instructions for adding a meeting 

to the meetings list. Add Meetings to the Meeting List .

✓  Add a meeting from New Case(s) and add the case to the roster – Some centers review every case 

during case review or they review all sexual abuse cases – regardless of the outcome of the 

forensic interview. It is most efficient for these centers to add a case to the next MDT meeting 

while entering the new case information.


1. While in New Cases, locate the section for the MDT meeting.

2. From the pick list, select a meeting for this case to be reviewed.

3. If the desired meeting is not already in the pick list, click ‘add’

and a pop-up window displays.

4. Select the meeting type; enter the date, time, and location of the meeting.

5. Click ‘Save’ to close the pop-up and return to entering the new case. The alleged victim will be 

added to the roster of the meeting you created.

✓  Add a meeting from the MDT tab in the case record and add the case to the roster– Some CACs wait 

to add a case to the MDT roster until after the forensic interview is completed. When this is 

your approach, the easiest way to be sure the case is on the roster

for the next meeting is to go to the MDT tab on the case record.


1.  Locate the case by searching in quick search or from Menu/Search/Cases or People.

2. Click ‘MDT’ tab

3. Just underneath the Investigation Summary table is a pick list of up-coming MDT meetings.

4. If the desired meeting is not already in the pick list, click ‘add’

and a pop-up window displays.

5. Select the meeting type; enter the date, time, and location of the meeting.

6. Click ‘Save’ to close the pop-up and return to the MDT tab.

7. Click ‘Save’ on the MDT tab and the alleged victim will be added

to the roster of the meeting you created.
