The Prosecution tab provides designated team members with the ability to add, edit, and delete
Prosecution information regarding a particular CAC case.
The information is separated into the following sections: “Referral,” “Prosecution,”
“Prosecution Decision,” “Prosecution Outcomes,” “Outside Referrals,” “Additional Points of Contact”
and “Document Upload.”
The Save and Cancel buttons for the tab are located in the header above the active page. You
must select “Save” to save information entered into each section to the case record.
NOTE: Users with “View” privileges can view the information on the page, however, text boxes and
pick list options are disabled.
Referral
The “Referral” section is used to record the agency and personnel who referred the case to
prosecution and the date referred.
STEP 1: Enter Date
Start by entering the date the prosecutor’s office was made aware of the case in the “Date”
field. You can either use the calendar to select the date or enter it in MM/DD/YYYY format.
STEP 2: Enter the Referring Agency

Select the agency that made the referral from the “Referral Source” drop down list.

To add a new Agency, click on the “Add” button next to the Referral Source field.

A “New Agency” dialog box will appear with a list of existing agencies at the top. Check to make
sure the agency you want to add is not in the list. If it is on the list, select it there and
return to the Referral section. If it is not on the list, enter the agency name, address and phone
number in the open fields. Click “Save” to add the new agency or “Cancel” to forego adding a new
agency.

STEP 3: Enter the Individual Making the Referral
Next, select the individual who made the referral from the “Person” dropdown list.

To add a new Person, click on the “Add” button next to the Person field.

A “New Personnel” dialog box will appear with a list of existing individuals associated with the
agency. Check to make sure the person you want to add is not in the list. If they are on the list,
click cancel to return the Incoming Referral section and select them from the Person drop down box.
If the individual does not appear in the list, enter the individual’s name, credentials, job title,
email address and phone number, if known. First and last names are required. Click “Save” to add
the new person or “Cancel” to forego adding a new person.

Prosecution
The prosecution section is used to record key information about which Prosecutor’s office
received the referral.
STEP 1: Select the Primary Prosecution Agency
Enter the “Primary Prosecution Agency.”

To add a new Agency, click on the “Add” button next to the Referral Source field.

A “New Agency” dialog box will appear with a list of existing agencies at the top. Check to make
sure the agency you want to add is not in the list. If it is on the list, select it there and
return to the Prosecution section. If it is not on the list, enter the agency name, address and
phone number in the open fields. Click “Save” to add the new agency or “Cancel” to forego adding a
new agency.

STEP 1: Select the Lead Prosecutor
Select the “Lead Prosecutor” assigned to the case from the “Person” pick list.

To add a new Person, click on the “Add” button next to the Person field.

A “New Personnel” dialog box will appear with a list of existing individuals associated with the
agency. Check to make sure the person you want to add is not in the list. If they are on the list,
click cancel to return to the Prosecution section and select them from the Person dropdown box. If
the individual does not appear in the list, enter the individual’s name, credentials, job title,
email address and phone number, if known. First and last names are required. Click “Save” to add
the new person or “Cancel” to forego adding a new person.

STEP 3: Enter Data in Custom Fields
Enter information into any custom fields your CAC has added to the Prosecution section.

There are two custom fields available for your CAC to use in this section. When they are not in
use, they are hidden.
STEP 4: Indicate if Case is Ready for MDT Review
Check this box to indicate that the LE process has proceeded to the point that the case is ready
for a team review.

Prosecution Decision
The prosecution decision section provides a record of the decision to prosecute for each alleged
offender on the case.
STEP 1: Add Offender to Prosecution Decision Table
Click on the “Add New” button on the Prosecution Decision section.

A dialog box will appear for entering information for this record. Select the “Alleged Offender”
from the dropdown field. This pick list will automatically contain the names of each alleged
offender associated with this case.

Enter the “Review Date” either by using the calendar to select a date or typing in the date in
MM/DD/YYYY format.
Choose a “Prosecute Status” from the dropdown list.
Click “Update” to add the record or “Cancel” to forego adding the record.
NOTE: Review Date and Prosecution Status are used to tabulate statistics for the NCA Statistics
Report.
STEP 2: Add or Create a new Prosecution Case
Once you have saved the new Prosecution Decision record, you can either link this record to an
existing Prosecution Case or create a new Prosecution Case, whichever is applicable.
To do this, click on the “Edit” button beside the Prosecution Decision record you want to link to
an existing Prosecution Case or create a new one for.

A dialog box will appear which shows the details you previously entered and a new section on the
bottom for linking this record to an existing Prosecution Case or to create a new one.

To link it to an existing Prosecution Case, enter the Prosecution Case number in the field “Link to
Case No.” then click on the “Update” button.
To create a new case, click on the link for “Create New Case”. This will open a dialog box for
entering the information on the new Prosecution Case.

Enter data in all the relevant fields for the Prosecution Case. Click on the “Save” button to save
your changes or click on “Cancel” if you do not want to save the details for the new Prosecution
Case.
There is a possibility that your CAC has added up to 5 custom fields here. When not in use, they
are hidden.

Once the Prosecution Case has been saved and if you added a Prosecution Case Number, the case
number will be shown under the column Prosecution Case Number in the Prosecution Decision table.
This is a link that will redirect you to the Prosecution Case details when clicked.

If you do not enter a case number, the link under the Prosecution Case Number will be shown
as “View Case”. When clicked, this will also redirect you to the Prosecution Case details.

When the Prosecution Case has been created, you will then be able to add charges and court
activities in the case. Click on the link for the Prosecution Case. The Prosecution Case Details
dialog box will come up.
Towards the bottom, you will find the Charges and Court Activities sections. To see details of
Charges, click on the arrowhead pointing to the right beside the case number to expand the table.
Do the same for the arrowhead pointing to the right beside the name of the alleged offender in the
case.
To add a new charge, click on the “Add New Record” button.

A dialog box with fields for entering information about the Charge will come up. Enter data in all
applicable fields regarding the Charge record you want to add. Click “Update” to save your changes
and go back to the Prosecution Case Details or click “Cancel” if you do not want to save your
changes.

To make additional changes to a record, select the “Edit” button next to the record in the table.
Once changes are made, select “Update” to save your changes and return to the Prosecution
Case Details.
To delete a record, click on the “Delete” button. A pop up box will ask, “Are you sure you want
to delete this record?” Select “OK” to delete or “Cancel” to forego deleting the record.

To add Court Activities related to the Prosecution Case, go to the Court Activities section and
click on the “Add new record” button.

A dialog box will come up where you can enter the details regarding the court activity you want to
add.

After adding all the relevant information for the court activity, click on the “Update” button to
save your changes or click on “Cancel” to forego saving the record.
To make additional changes to a court activity, select the “Edit” button next to the record in the
table.
Once changes are made, select “Update” to save your changes and return to the Prosecution Case
Details.
To delete a record, click on the “Delete” button. A pop up box will ask, “Are you sure you want to
delete this record?” Select “OK” to delete or “Cancel” to forego deleting the record.

Prosecution Case Details Section - Data Fields
See the description of the different data fields for the Prosecution Case in the table below.

STEP 3: Edit or Delete a Record on the Prosecution Decision Table
To make additional changes to a record, select the “Edit” button next to the record in the table.
Once changes are made, select “Update” to save your changes and return to the Prosecution Decision
table.
To delete a record, click on the “Delete” button. A pop up box will ask, “Are you sure you want to
delete this record?” Select “OK” to delete or “Cancel” to forego deleting the record.

Prosecution Outcomes
The prosecution outcomes section is used to record the final disposition for the case, (as it
relates to the child’s case and is reported to NCA in the NCA statistical report. Additional
outcome details can be recorded on the optional Prosecution Case).
STEP 1: Select a Prosecution Outcome
Select the most applicable “Outcome” from the dropdown list. The Outcome list is not customizable.
It represents the overall outcome related to the CAC case. If the alleged offender(s) is/are found
guilty of one offense but other charges are dropped, the goal is to report the most favorable
prosecution outcome in this data field.

STEP 2: Enter Outcome Date
Enter the date the Outcome was entered.

STEP 3: Enter the Completed Date
Enter the “Completed Date” once all activity related to this case has concluded. When you enter the
date here, the Prosecution Status on the Case Tracking table on the General Tab will change to
“Complete.”

STEP 4: Enter Data in Custom Fields
Enter information into any custom fields your CAC has added to the Prosecution Outcome section.
There are up to 4 custom fields available for use by each CAC. When not in use, they are hidden.

Prosecution Tab Data Field Details
See the descriptions of the data fields in the table below.
The table below contains information about the data fields on the PROSECUTION tab. Red data fields
are used to tabulate statistics for the NCA Statistics Report.

Outside Referrals
The outside referrals table is used to record referrals made for services or support that is
outside of the scope of services established for all alleged victims.
STEP 1: Add an Outside Referral
Click on the “Add New Referral” button to add an outside referral.

Enter the date of the referral in the “Date” field either by using the calendar to choose the date
or entering the date in MM/DD/YYYY format. Select the agency the referral was made to in the
“Referred To” drop down list and enter any comments, if applicable, in the “Comment” box.

Click “Update” to add the referral or “Cancel” to forego adding the referral.
STEP 2: Edit or Delete an Outside Referral
To make changes to a referral record, select the “Edit” button next to the record in the table.
Once changes are made, select “Update” to save your changes and return to the list.
To delete a record, select the “Delete” button. A pop up box will ask, “Are you sure you want to
delete this record?” Select “OK” to delete or “Cancel” to forego deleting the record.

Additional Points of Contact
The Additional Points of Contact is a table that provides a place to note information about people
that are significant to the investigation.
STEP 1: Add a New Point of Contact
Click on the “Add a New Point of Contact” button to add a new point of contact.

A dialog box will come up where you can enter the details for the additional contact. Enter
information into the “Agency”, “Name”, “Phone” and “Email” fields.
Click “Update” to add the contact or “Cancel” to forego adding the contact.

NOTE: All of the fields in the table are text fields and all are optional. To enter the phone
number you can enter 7 or 10 consecutive numbers and the system will format the number like this:
(xxx) xxx-xxxx. To add an extension, enter an “x” immediately after the last number and then up to
a 4 digit extension.
STEP 2: Edit or Delete a Point of Contact
To make changes to a point of contact record, click on the “Edit” button next to the record in
the table.
Once changes are made, select “Update” to save your changes and return to the list.
To delete a record, select the “Delete” button. A pop up box will ask, “Are you sure you want to
delete this record?” Select “OK” to delete or “Cancel” to forego deleting the record.

Document Upload
To upload documents related to the information entered on the Presenting Tab, scroll down to
the “Document Upload” table and click on the “Select files” button.
Refer to the “Document Upload” help file for details on uploading and managing documents.
NOTE: NCA does not recommend the storage of evidentiary documents as part of this case record. Any
copies of evidentiary materials should be retained by the appropriate law
enforcement and prosecution partners.
