Description

The Data Transfer Log gives CACs the ability to review information transferred to NCAtrak by the authorized Data Provider. It provides the CAC with some filters to sort the data by and shows what action the CAC has taken to used the data.

q      Types of Data Transfer

Since there may be different types of data transferred to NCAtrak over time, the types of data are logged together. Thus far only one type of data is being transferred – Referrals.

q      Data Transfer (Referrals) Log

This log displays all of the referrals sent by a Data Provider and received by NCAtrak. The table below describes each column in the log.

Action

The action column provides a ‘Details’ link to view the details of the referrals.

Referral Source

The Referral Source column shows which Data Provider sent the referral.

Referral ID

The referral ID is the DP’s identification number for the referrals that are sent. Each referral has a separate ID even if several are sent at the same time.

Date Received by the CAC

This is the date that the referral was received by NCAtrak and presented in the Data Transfer Log to the CAC.

Status

The status shows what action the CAC has taken toward the referral. Status can be any of the following:

·         Received – This means that the referral has been received by the CAC

·         Accepted – The CAC has reviewed the information and determined that it is appropriate for them to accept

·         Created New Cases – The CAC has opened new case(s) for the alleged victim(s/client(s) identified in the referral information

·         Added to Open Case Record – the CAC already has an open case matching this referral information so they have added the referral record to the existing open case.

·         Duplicate from Data Provider – the Data Provider has sent this same referral packet twice. The CAC has opened a case with the first referral and this one is a duplicate.

·         Not Accepted – the CAC has determined that this referral is not appropriate for them to accept.

Status Date

The date that corresponds with the status displayed in the Status column.

Comments

Comments are provided by the CAC. They can be used for whatever the CAC wants however they will be viewed by the Data Provider as the comments box is designed to facilitate communication with the DP about a specific referral.

q      Default Setting for the Log

When you click on ‘Data Transfer’ from the Home Page Main Menu Bar, the Referrals Data Transfer Log will automatically show the referrals transferred during the previous 5 days that still have a status of ‘received’. The table is setup to show aprox. 20 referrals and provides a “Previous/Next” function at the bottom for those who prefer a smaller set of data on the screen. It can be expanded by clicking the ‘Expand Table to Include Selected Referrals’ checkbox for those who prefer to see the entire list. You can also use the Search Criteria to find other referrals.

q      Use Search Criteria to filter the Data Transfer Log

  1. Start with a before or after date
  2. If desired, use the filters to further narrow the search.
  3. Click ‘Search’ to access the desired referrals.
  4. Click ‘Reset’ to restore to the default settings.

q      View the Details of a Referral Record

  1. Click the ‘Details’ link in the row with the desired referral record.
  2. For users without a Role that has the privilege to Create New Cases, the details display in ‘read-only’ view.  At the top of the page are details about the referral, including the status. Below, the data is displayed in a format that the CACs will be able to use to identify the alleged victim(s) and other people associated with the case, the reason for the referral, and all the other information transferred for this referral.
