he “Update My Profile" page allows users to access their personal profile where they can verify
and update their contact information, update their NCAtrak password, track their continuing
education credits and upload their continuing education certificates and files.
From Your Profile Page, You Can:
• Verify and Update Your Contact Information
• Change Your Password
• Track Your CEUs and Manage CEU Files
• Record and Track the Date of Your Last Background Check
Verify and Update Your Contact Information
To access your personal profile, click “Update My Profile” under the “About Me” dropdown
menu on the left of your screen. This will bring you to the “My Profile” page.

Note: You can also access your profile page by clicking on your name at the upper right corner
of NCAtrak and selecting “Update My Profile” from the dropdown.
The “Verify My Contact Information” section at the top of your profile page includes your name and
contact information. It is important to confirm that your correct email address is included in your
profile. If it is missing or incorrect, click in the email field and enter your email address.
Click “Save” at the top of the page to save your email address to your profile.

Additionally, you can update any of the other personal information fields except for your name.
Simply click in the field you wish to update and type the information, as you would like it to
appear. Be sure to click “Save” at the top of the page to save any changes to your contact
information.
Note: To change your first and/or last name, you will need to contact the NCAtrak Security Officer
at your CAC.
Change Your Password
The “Change My NCAtrak Password” section allows you to change your own password. Your username will
appear in the first field. Enter your current password, as well as, the new password you would like
to use. Enter your new password a second time to confirm. Be sure to click “Save” at the top of the
page to save your new password.

Note: If you have forgotten your password, you will not be able to change it here. Refer to the
help file entitled, “Password Reset Self Service,” to learn how to reset a forgotten password.
Change Your Verification Preference
Users will be able to add their verification phone number where they update their password every 90 days by clicking on their name in the upper right-hand corner or on About Me and pressing Update My Profile. Security Officers will be able to update profiles from the Administration Tab Personnel.
Note: If you prefer to receive the two-factor code via phone number, please check the box. If you prefer to receive the two-factor code via email leave the box unchecked.
Track Your CEUs and Manage CEU Files
The “CEU Tracking” section allows you to record continuing education (CEU) credits and track your
progress towards meeting the continuing education requirements required under the NCA Standards for
Accreditation. To add a CEU event, click on “Add new record.” A pop-up box will appear for you to
enter information on the credit bearing activity you wish to record.

Input the Event Name in the first field.

Then, select the date of the event by clicking on the calendar icon next to the Date field and
selecting the date of the event on the calendar tool. You can also type in the date in MM/DD/YYYY
format.

Use the Category dropdown menu to select the discipline to which the credits were earned for.
Note: If you have multiple continuing education credits for different disciplines, you can enter
them all here. Simply select the category that matches each CEU event. You will not be restricted
to one category.

Use the up and down arrows next to the “CEU Hours Earned” field to enter the number of credit hours
earned through this event.

Click on the “Update” button to save your changes and your record will appear in the grid. If
you click on “Cancel,” the event will not be recorded.
IMPORTANT: The total number of CEUs you have earned in the last two years will only be updated
after you click the Save button at the top of your profile page after you add an entry in the CEU
Tracking table.
If the box is red, you have not met your continuing education requirement yet. If the box is green,
you have met your requirement, in accordance with NCA Standards of Accreditation. You will need at
least 8 hours in one category to make the box turn green.

Once you have created a CEU tracking record, scroll down to the “CEU File Upload” section to
upload your certificate of completion or other documentation of your CEU credits. Click on the
“Select Files” button to upload files.

A file explorer window will come up so you can find the file you want to upload from your computer.
Choose the file you want to upload and click on Open to upload the file. You will get a message
saying that the file has been saved and that the upload is complete.

Click on the OK button and confirm that the file appears on the grid.
Refer to the Document Upload help file for more information on uploading and removing files in
NCAtrak.
Record and Track the Date of Your Last Background Check
Record the date of your most recent background check by clicking on the calendar icon next to the
“Last background check completed on:” field to choose the date or enter the date using the
MM/DD/YYYY format.

This feature will allow you to easily record and monitor the date of last background check to help
you ensure you remain in compliance with NCA Standards for Accreditation, which require a new
background check every two years.
Disable Email Notification of Scheduling
Locate the person in the personnel table. Click on the “Edit” button in the action column beside
the person’s name.

Scroll down to the “Receive Emails from NCAtrak Regarding” Section. Uncheck any session type
that you do not want people to receive. In the Example below the person will receive emails on all
types of sessions.
