The NCAtrak Management Reports Tab was developed for the first NCAtrak users to make basic stats available while creating the Custom Report capability. While these reports are very basic, some NCAtrak users still find them useful. If you don’t see what you need here, try other report options in Custom Reports.


NOTE: Access to data in NCAtrak is determined by the privileges granted to you by your CAC’s NCAtrak Security Officer. If you are not allowed to see the data in a case record, you will not be able to see it in the Management Tab reports.


Types of Management Reports


Each type of management report is listed below with a brief description.

  • CEU Report - Lists CEUs from Personnel
  • CPIT Report - Case Review List
  • CPS Statistics Report – basic stats about CPS activities
  • Forensic Interview Statistics Report – basic stats about FI sessions
  • Medical Statistics Report – basic stats about Medical visit
  • Law Enforcement Statistics Report – basic stats about LE activities
  • Mental health Statistics Report – basic stats about MH services
  • Victim Advocacy Report – basic stats about VA services
  • Prosecution Statistics Report – basic stats about prosecution activities
  • NCA Statistical Reporting Form (old) – a version of the NCA report used prior to 2007.
  • NCA Statistical Report – the current NCA report format
  • VOCA Statistics Report – some basic stats for VOCA reports but VOCA reports required throughout the country are VERY different from each other and this report will likely not include all of the stats needed by your CAC. Most CACs use Custom     Reports to access the stats they need for VOCA.
  • VOCA Report 2015 Revisions – most recent and recommended VOCA report to be used by centers
  • Case Medical Report – This is the same report generated by the “Print Medical Report” function in the Medical tab which includes the clinical information noted in a client’s medical visit.


Run a Management Report


STEP 1: Select Management Report Tab


Select “Management,” from the “Reports” drop down menu on the left side of the page.

STEP 2: Run Management Report


Select a report from the “Report Type” pull-down list.


Select the “Report Date Range”- either by period and year date range or by using a specific date range.

Select a format for your report. The default report format is the one you have set under “Reports Setup” for your CAC but you can choose a different format if you wish to do so. Choices for the report format are:


        • PDF – open as a PDF

        • Word – open in Word format

        • HTML – open in a new browser window

Select a county from the pull-down list if you would like to view the stats for just one county at a time. The Counties that display in the pick list on the Management Reports Tab represent two different locations.


        • For cases that are opened because of an allegation of abuse, the county is where the incident reportedly took place.

        • For cases opened for other direct services the county is where they live.

STEP 3: Run Report


Click the “Run Report” button to generate a report in the selected file format.


Reset and Continue Running Reports


Click on the “Reset” button to clear any previous date criteria.

Troubleshooting


If you get an error message and/or your report will not run, there are two things to check on your computer:


            • Check to see if you have a Pop-up Blocker running and if so, set it so that you can receive pop-ups from NCAtrak


            • If that doesn’t allow the report to run, you may have a setting in your Internet Options that needs adjustment -


                                1. Under Internet Explorer, choose Tools/Internet Options/Security Tab/Custom Level.


                                2. Find the "Downloads" section of custom level security settings.


                                3. Click on "Enable" for "File downloads"


                                4. Click “OK.”
